Walnut Creek Coordinator Info
All Adult Volunteers
Need to be TIPS and ABC "RASP" Trained:
TIPS Classes (3 hours) are usually held at the Budweiser
Plant off Poole Road.
This is a required alcohol-awareness class for those wishing to work Walnut
Creek concerts. No advance registration is necessary. TIPS certification is
good for 3 years.
Take the Poole Rd exit off of 440 and head towards Knightdale. At the first
stop light (Carya Dr), turn left into the Wake County Office Park. At the fork
in the road, stay to the right (Civic Dr) and take that to the end. The
training is in the Budweiser Plant on the left (usually in their conference
room).
See the Band Calendar for TIPS training
dates.
ABC "Responsible Alcohol Seller Program (RASP)" Training is held each Wednesday night at the ABC Commission Complex in Raleigh. The complex is located at 3322 Garner Road. These classes last approximately two hours. Registriation and location information is available through the ABC web site for District 4 (Central North Carolina), or by calling the ABC Commission complex at (919) 779-0700.
Periodically, ABC RASP training will be offered in the Sanderson High School band room. E-mail alerts will be sent by the Walnut Creek coordinators well in advance of these class dates.
Below is a quick run down of what the Coordinator will be responsible for this year. Some minor details may change, but there will be plenty of veteran help for the Coordinator.
Note: this Fundraiser is very useful to individuals for Fair Share.
There are two booths that Sanderson is responsible for:
· West Backstage Bob's needs 4 TIPS-trained adults. The adults will work the 4 windows, selling food, beer, soft drinks, and bottled water. There are also openings for 1 or 2 students at each concert. The students will help make up the orders, which are typically burgers, fries, chicken nuggets and sandwiches. Walnut Creek employees do the cooking, the students get the cooked items from the grill, assemble and package the sandwiches.
· West Rock Star Pizza stand needs 2 adults. The pizzas are baked by Walnut Creek employees and are sold already boxed. Beer, soft drinks and bottled water are also sold. The two stands are conveniently located adjacent to each other.
· Occasionally, the Walnut Creek management asks if we can staff other stands, especially at sold out concerts. These will be announced on the website, or via e-mail.
1. Check the Walnut Creek website to
check on upcoming concerts. (Once the season has begun flyers are provided
telling of upcoming concerts)
2. Send an e-mail to all band parents/students telling of an upcoming concert
date and openings.
3. Current personnel needs include:
· 2 stand managers (1 for West Backstage Bob's and 1 for the Pizza stand)
· 4 additional adult workers (3 for West Backstage Bob's and 1 for the Pizza stand)
· 2 student workers (food preparation only)
4. Fill available spots
in order e-mails are received.
5. Send response back letting people know that they are scheduled to work.
6. Send list of workers to the Walnut Creek contact for check in list at the
gate (approx 4 days ahead of concert).
7. Send same list as a reminder via e-mail to workers reminding them of the
check-in times, directions, etc.
8. Get totals for sales from stand manager and input data into spread sheet
(more on this later).
9. Make periodic reports of expected credit earned by volunteers to treasurer.
(This is just an estimate as real numbers aren't available until the end of the
year when we use the total of all revenue and divide it by the number of
volunteers for the entire season).
10. Be flexible and be ready to fill in when people's plans change.
11. Have a back up list of those people who aren't offended by last minute
calls to fill in at the last minute.
